Prior To Implementation
An administrator of MMS Generations will be required.
Resolution
 
 
  1. If the primary teacher (on leave) remains the “teacher of record”, teaching the course, then the substitute teacher needs to be able to access that teacher’s courses. Here’s how: 
    1. Log in as an Admin user, go to the Admin menu option, select User Accounts.
    2. Select to Add a new user. (This user will be your long-term sub). Provide the person a username and password.
    3. Set the default year on the General tab.
    4. Select the Teacher tab. Choose the correct database and the school code; for the Teacher, select the primary teacher the substitute will be replacing.
    5. Next, select the Database Access tab. Use the Yellow + icon on the toolbar to add the database and the correct school code. Set checks for both, open by default and for the default database.
       
  2. If a long-term substitute is replacing the primary teacher you must add them to the staff table first.
    1. Go to School Management Jobs in MMS Generations, Edit Staff Basic.  To add a new teacher select and click the Yellow + icon on the toolbar. Assign an ID number based on the policy at the school. Enter a Display Name; then enter the first and last name and other information.
    2. In the Course Section table - School, Edit Course Sections, you must then replace the primary teacher with the name of the substitute.
    3. Next create a user account similar to part 1 above. Go to Admin, user accounts. Add a new user. For the teacher select the new account you created for the substitute.
    4. Next, select the Database Access tab. Use the Yellow + icon on the toolbar to add the database and the correct school code. Set checks for both, open by default and for the default database.

Additional Information
Note: In some states such as PA, MA, RI and NJ there is an option to designate the original primary teacher as the teacher of record; this way the substitute teacher can still be assigned to the section, however the primary teacher would be reported as the teacher of record.
