The following article is designed to walk the user through the basic steps involved in setting up the Discipline Mail Merge option available in the Discipline editor.

Prior To Implementation

Ensure MMS User has access to Discipline Reporting Jobs > Operations > Discipline Mail Merge and the Student Discipline Editor.

Resolution
  1. Discipline Reporting Jobs > Operations > Discipline Mail Merge. This window must be completed per the school policy on what needs to be included in the discipline mail merge letter.

  • Auto-Select Default Fields automatically selects a set of default fields to be included in the mail merge letter.

  • Select Fields to Output to Mail Merge table: Select any additional fields you need in the mail merge letter.

  • Default For Editor: Select this checkbox to set for use with the Student Discipline Editor.

  • Select your Master document at the Master Document tab (e.g. Disciplinary Infractions Received Letter, Disciplinary Actions Received Letter). Edit master document as needed (e.g. specific school contact information such as Principal Name, etc. at the end of the letter).

  • Select your Master Report form at the Master Report Form tab.

  • Return to Mail Merge Table tab and Save settings.

  1. Select Build Table.

  • A window will open to build the mail merge table according to the Master Document selected (e.g. Print Student Report by Infraction, Print Student Report by Action).

  • Select starting/ending date range: Choose date range to assess student data.

  • Select Infractions: Select the infractions you want to include, which will be an important part of your letter to the parent(s).

  • Default For Editor: Select this checkbox to set for use with the Student Discipline Editor.

  • Choose additional Report Options.

  • Select Student Range if needed.

  • Build Table.

  • Save settings.

  1. When in the Student Discipline editor, you will have the option of sending a letter to select contacts using the setting you saved in Discipline Mail Merge.

  • The Discipline Mail merge settings you saved in the Discipline mail merge operation are highlighted in dark blue.
