The following article is designed to walk the user through the basic steps involved in printing either subject grade based or standard/skill/competency grade report cards from Vision SIS.

Prior To Implementation

Have staff level access.


1. Click HERE to access an article about how to navigate Vision, set favorites, and find help.

2. Use the menu and go to Grades > Reports > Report Cards or use the search function found in the My Dashboard area. In the Search menu, enter “report cards.” Select Report Cards from the search results. Click GO.

     a. Enter a Label to use on the report. This label is only used if the option to print standards (or skills or competencies) grades in the Grade Fields tab is selected.

     b. The default Grade Point Value Group in the pick list will be adequate for most schools. Most schools use only a single grade point value group for their valid grades list.

     c. Select week to use for teacher data. The week selected will determine which section line is used for the teacher name if the section has multiple lines.

     d. Start each report card on a new sheet of paper. This option should be used if printing on a printer with duplex enabled. This prevents the first page of a student’s report card printing on the back of another student’s.

     e. Skip students with no grades or comments in any courses. Use to suppress report cards for students with no grades or comments.

     f. Skip withdrawn courses. Use to suppress classes with a withdrawn grade (W, WP, WF, etc.).

     g. Include transfer courses. If courses and grades from another school have been entered into MMS through the Transfer Grade Editor, do they need to be included in the report card?

     h. Use alternate grades to display the alternate grade from the grade point value group’s valid grade list. The default will display the recorded grade.

     i. Select standards tiers to print: Tier 1, Tier 2, Tier 3, Tier 4, and Tier 5. Standards are often hierarchical in design and may have many levels (or tiers) of Standards within a group. Each tier level might include many skills and you may not wish to print the skills present on all five tiers on the report cards. Choose the tiers to print on the report cards.

     j. Enter optional message to print on last page of report card. Spell check is available.

​4. Header Tab.

  1. Enter optional report card titles (2 lines). Each line accommodates approximately 40 characters. See below for an example and for an indication of where the title prints (red box).

  1. Select up to 3 optional additional biographical fields and labels to print. See above for an example and for an indication of where they print (orange box). Labels can contain up to 28 characters.

  2. Name and address selection. Select parent and school information to include: parent name, parent address, school address, and school phone number. Parent information prints below the student in the left-hand side of the header and school information prints below the school name in the right-hand side of the header.

  3. Select contact type for any parent name and address selected. Selecting the Mailing Flag from the pick list generates a report card for each contact that has the Receive Mail flag set to Yes.

  4. Enter optional message to print on the first page of the report card.

  1. Grade Fields Tab.

  1. Select the course data to include in the report card. Up to 12 subject grades, 4 comment codes, and 4 text comments can be displayed for each class.

  2. The screenshot below shows the setup area for a typical 4-quarter grade plan with semester exams (MEX and FEX) and averages (MAV and FAV). The settings for the 3rd quarter report card are displayed.

  1. Grade Storage Bin. This column displays the grades set in the Edit Grade Schemes – Grade Storage Bin Definitions found in MMS Generations. These grades are also referred to as subject grades.

  2. Standards Marking Period. If your school is configured for skills, standards, or competencies, the marking periods that have been set up to correspond with the course subject grades will display in this column. The standards marking periods are defined in Generations > Skills > More Skills Editing Jobs > Setup Marking Periods. The link between the standard grades and the subject grades is set up in Vision SIS Grades > Configuration > Configure Skills Grades.

  3. Report Card Label. The labels print at the column headers on the report card. Default labels are the grade storage bins as defined in MMS. Each label has a maximum length of 3 characters.

  4. Print Subject Grades. Check the box for the corresponding subject grades to be included on the report card. A maximum of 12 subject grades can be selected.

  5. Print Standards Grades. Check the box for the corresponding skills, standard, or competency grades to be included on the report card. Standards grades print below the subject grades but before the comment text and teacher note. See below for an example.

  1. Print Credit. To display the credit on the report card, check the box for the corresponding subject grades that determine when course credit can be earned. . Generally, credit is associated with final average (FAV) and is earned when a student has a passing final average grade. If credit is earned over multiple grades (for example mid-year average - MAV and final average – FAV), the individual credit fields are summed and displayed as a single value.

  2. Print Teacher Note. Select one teacher note to display on the report card. Generally the most recent term’s note is selected. The note, when present, will print below the course, following any standards or comments. See previous graphic for an example.

  3. Select Comment Code For nth Column. Use the pick list to choose which of the four possible comment fields to print in each of the four columns on the report card. For the comments selected in these pick lists, the comment numbers (for example “01” or “08”) print on the report card. Commonly, this list is used to select comment codes for the current term. A maximum of four comment codes can be displayed on the report card. See below in the red box.

Note: If class attendance is being recorded, it can be displayed on the report card by using one of the four comment code columns. See above for an example in the green box. Click the following link for more information: How to Get Class Absence Totals for Report Cards.

  1. Select nth Comment Text to Print. Use the pick lists to choose which of the four possible comment fields to print on the report card. For comments selected from these pick lists, the comment text (for example “A pleasure to have in class” or “Works independently”) prints on report cards. Commonly, this list is used to select comment codes for the current term. A maximum of four comments can be displayed on the report card for each course. Comments, when present, print below the associated course. Each comment is preceded by the associated term. See below.

  1. Attendance Tab

  1. Select the attendance data to print on the report card. Choices are: Excused Absences, Unexcused Absences, Total Absences, Tardies, and Dismissals. Customize what is seen by choosing the different options under each pick list.

  2. Select the terms to display. Six terms can be displayed as well as the totals for each attendance type selected.

  3. Attendance totals not printing? Attendance summaries need to be created for each term. This is done in Vision SIS Attendance > Operations > Transfer Attendance Summary Totals.

  1. Credit/Class Rank/Honor Roll/GPA Tab.

  1. Choose if Class Rank is to be included on the report card. From the pick list, choose the GPA that the class rank operation was run against.

  2. Up to seven GPAs can be included on the report card. You can assign a label for each GPA. Each label has a maximum of 28 characters.

  3. From the Honor Roll pick list, choose the term for which to display the honor roll.

  4. Use the Previous Credits pick list to choose which credit calculation indicates students’ prior credits. This must have been calculated in the current school year.

  5. Use the Current Year Credits pick list to choose which credit calculation indicates students’ current year credits. This must have been calculated in the current school year.

  6. Use the Career Credits pick list to choose which credit calculation indicates students’ career credits. This must have been calculated in the current school year.

  1. Email Settings. Report cards can be emailed to parents. This option is only available for contacts eligible for email. There are options that allow for paper copies to print for contacts not set to receive email as well as an option to print a copy for all students regardless of the email status of the contact. Email settings are a run time option and are not saved when using the Save Settings function.

  1. Send Report to Email. Check this option to enable the setup area pictured below.

  1. Report For. Indicate whether only emails will be sent, or if paper copies will be printed for those report cards that can’t be emailed.

  2. Print Paper Copy as Well for Email Recipients. Checking this option will print a paper copy for the contacts who receive an email.

  3. From. This is a required field. Enter in the email address from which the report cards will be sent.

  4. Subject. This is a required field. Enter the email subject.

  5. Message. This is an optional field. Report cards will be emailed as an attached PDF document. It might be helpful to include that information in a message to the contact.

  6. Enable Email Log File. If you chose to enable tracking, the application will automatically enter a file name of “ET” plus the current date in the format of YYYYMMDD with an extension of ".csv" (this file name can be changed if needed). Click Email Logs to view tracking information. Select a log file, and the following information is displayed:

  1. Save Settings. After entering the settings for a report card, save the settings to be able to print report cards without having to enter the settings again. To add a new saved setting:

  1. click Add Item

  2. change the default description (New SRC Record) to something more descriptive

  3. Optional: check the Lock box to prevent other users from being able to modify the settings

  4. click Save

  5. With the new saved setting selected, click Save Settings

  6. Edit Item allows the saved setting’s description to be changed

  7. Select a setting and click Delete Item to delete the setting

  8. Click Close to return

  1. Recall Settings. Displays the available list of saved settings. Select the setting to be loaded and click Recall Settings. Close to return.
  2. Student Range. Select the students to print report cards for.
  3. Print. Displays a warning that you are viewing a preview before printing. Click OK. Once the report is built, the preview opens. From the preview, the report can be printed or downloaded. To close the preview, click the X in the upper right corner of the window.
