The following article is designed to walk the user through the correct way to replace a student’s course/section, especially if you use the MMS Teacher Portal and want to transfer assignments scores between the original course and the new course. This article will focus on an individual student rather than a group of students. A student must be withdrawn from the original course before transferring grades on assignments.

Prior To Implementation

Please read the following Knowledge-base article: Section Exit/Entry Dates in MMS Generations. Enabling Track Entry/Exits turns on an automatic function that keeps the original course/section as withdrawn, saves the date of the transfer, and increases compatibility with state reporting.

Resolution
  1. Log into MMS Generations, open your database and select the correct school and year.

  2. Go to either Grades > Edit Student Grades > Schedule tab or Scheduling > Edit Student Schedules.

  • For schools that compute term GPA and/or Honor Roll, it is recommended to use the former – Edit Student Grades.

  • It is important to understand that this article describes the process of withdrawing a student from Scheduling. It may be necessary to replace a term grade in the original course/section with a withdrawal grade (W).

  • This is required to prevent a grade from being counted twice in Honor Roll or GPA.

  1. As seen in the images below, select the course to be replaced, use the Yellow Plus Add icon to add the new course/section and withdraw the student from the original scheduled course/section. The images below show the steps.

  • After clicking the Add (yellow plus icon) on the toolbar it then opens the following screen.

  • Select the new course/section.
  • Select Replace course. OK.

  • Select Yes.

  • Select Save Date.

  • The WG at the right of the old course/section indicates the student has been withdrawn from the course/section.

  • Edit the Entry/Exit dates so they don’t overlap.

  • As discussed in Step 2, you may need to select the Grades tab and assign a W grade to the term the student withdrew in.

  • Assignment grades can now be transferred in the Teacher Portal.
