The following article describes best practice for scheduling two courses/sections that meet at the same time in the same room with the same teacher (e.g. Spanish 3 and Spanish 4 both occurring concurrently, taught by the same teacher in the same room). The purpose of this Knowledge Base Article is to address avoiding scheduling conflicts when using the Automated Schedule Builder (ASB) to build your school’s Master Schedule.

Prior To Implementation

Confirm that the user has access to the Staff Portal.

Note that Scheduling Operations are available in MMS Generations; however, the focus of this Knowledge Base Article is on the Staff Portal where the scheduling operations are currently available. The following resolution will include steps located in MMS Generations as well as the Staff Portal.

Resolution
  1. Log into the Staff Portal.

  2. Select the Filter By, the School, and School Year for Scheduling the course(s)/section(s).

  3. Staff Portal > Manage > Edit Course Catalog > Course Data tab

  • Confirm that the course catalog includes Subject 1 (e.g. Spanish 3) and Subject 2 (e.g. Spanish 4), the two courses to be scheduled concurrently.

  1. MMS Generations > Scheduling Jobs > Operations > Mass-Edit Student Course Records > Conditional Add tab

  • For all students with Course: Choose Subject 2 (e.g. Spanish 4, the course NOT to be scheduled with Automated Schedule Builder). Add Subject 1 (e.g. Spanish 3, to be scheduled with ASB).

  1. Staff Portal > Manage > Edit Course Catalog > Course Schedule Constraints tab

  • Edit the Subject 2 course (e.g. Spanish 4): confirm that ASB to Build Sections is NOT selected. Save.

  • Edit the Subject 1 course (e.g. Spanish 3): adjust Maximum Section Enrollment to account for all Subject 1 AND 2 students. Save.

  1. Staff Portal > Scheduling > Automated Schedule Builder

  • Proceed with scheduling as usual. This will include Subject 1 (e.g. Spanish 3).

  1. After schedule is complete and all section changes are finished, then do the following steps, otherwise you have room and teacher conflicts and ASB will stop processing.

  2. Staff Portal > Manage > Editing Jobs > Edit Course Sections

  • View Subject 1 (e.g. Spanish 3) course that was scheduled with ASB, noting all Subject 1 criteria, e.g. Beg Pd., End Pd., Room, Tchr ID (or Teacher Name).

  • Add new section: Choose the Course Code for Subject 2 (e.g. Spanish 4, the course NOT created with the Automated Schedule Builder) and select all the same criteria to mirror Subject 1 (e.g. Spanish 3), including Beg Pd., End Pd., Room, Tchr ID (or Teacher Name).

  1. MMS Generations > Scheduling Jobs > Operations > Mass-Edit Student Course Records > Course Replace tab

  • For all students with Course/Section: Choose Subject 2 (e.g. Spanish 4).

  • With Subject 2 hand created course/section NOT created with Automated Schedule Builder.

  • Process Edits.

  1. MMS Generations > Scheduling Jobs > Operations > Mass-Edit Student Course Records > Conditional Drop tab

  • For all students with Course/Section: Choose Subject 2 and corresponding section (e.g. Spanish 4/01, not scheduled with ASB)..

  • < > Subject 1 (e.g. Spanish 3/01, the course/section that was scheduled with Automated Schedule Builder).Process Edits.

  1. MMS Generations > Scheduling Jobs > Print Class Lists: View (or export to .pdf) the class list for the course to confirm correct students are scheduled into the course.
