The following article is Part 1 of 4 articles designed to walk a user through the PVAAS process. The goal of PVAAS (the Pennsylvania Value-Added Assessment System) is to compile, calculate and export Staff/Student Subtest Responsibility data.

Prior To Implementation

The user must have read/write access to the PIMS menus:
 

  1. PIMS Course Catalog Editor;

  2. Scheduling (or Grades) > Edit Student Schedules > Track Entry/Exits;

  3. School > Edit Scheduling Term Definitions;

  4. School > Edit Staff Basic;

  5. School > Edit Course Sections.

 

Check our website www.cri-mms.com to make sure the latest versions of MMS Generations and PIMS are installed.

Resolution
  1. Log into MMS Generations.

  2. Go to PA EDR Operations menu > PIMS Course Catalog Editor.

  • Edit the field, PA Subtest Identifier. Enter the test given for the specific courses. If a course has multiple sections and those sections use a different test that can be accomplished in the section table, which will be covered shortly.

  1. Go to Scheduling > Edit Student Schedules > View/Edit Section Entry/Exit Dates.

  • Use the following function to track when a student withdraws from a course/section. If the Entry date is empty the program will use the Start Date entered into Scheduling Term Definition editor for the course section.

Note: you can use Grades > Edit Student Grades > Schedules also to enter these dates. For additional information, see KBA: “Section Exit/Entry Dates in MMS”, available at WWW.CRI-MMS.comKnowledgebase Articles.

  1. Go to School > Edit Scheduling Term Definitions. Verify dates for terms are correct.

  1. Go to School > Edit Staff Basic > PIMS > General Information 2.

  • Verify field 36 – Exit Date is entered if a teacher has left along with Termination code, field 54.

  1. Go to School > Edit Course Sections.

  • Edit Subtest for a section only if it is different than what is setup in the Course Catalog.

  • Edit Teacher/Student Responsibility.

  • If only one teacher is responsible for the section, leave as 0.

  • If more than one teacher is involved in teaching the section, leaving both (or up to ten teachers) set to 0 (zero), the value will automatically be divided equally. 50/50 in the case of two teachers.

  • Insert a value of 999 for any teacher that works with only a few students in the section, then enter 100 for the primary teacher, or divide the percentage mathematically. If more than one teacher is involved with all the students. I.E. Teacher 1 = 50%, Teacher 2 = 999, and Teacher 3 = 50%. The 999 will allow the value to be edited later for individual students. Any value left at 999 by the time of the PVAAS export will be omitted (indicates student with 999 on export was not being taught by that teacher).

  • The final percentages will be edited later.

  • Edit Teacher of Record (optional). This is generally necessary if Teacher 1 is a Long Term Sub replacing the Teacher of Record.
