The user must have access to the PIMS menu:

  1. The Create/Update Teacher Assignment operation adds new records for all teachers assigned to course/sections. Exit and entry information is calculated based on Scheduling Term Date Definitions. This operation does not change a field that already contains data.
  • Do not run this operation until your course/sections are finalized – e.g. don’t run if scheduling or teacher changes are not complete.
  • It is important that all your term dates are entered correctly. If a term lacks dates, even if unused, the following error will occur:

  • Undated terms can be seen in the following image. Go to School > Scheduling Term Definitions Editor to correct this problem.

  1. The following options are available when processing Teacher Assignments:
  • Overwrite state course codes with codes from course catalog. Generally this option is unchecked. This option will overwrite state course codes present in teacher assignments with the value found in the course catalog. Uncheck this option if changes have been made to individual sections.
  • Overwrite responsibility percentages with values from the section table. Not selected by default. When this option is selected, all values in the teacher assignment table are updated with responsibility values found in the section table > teacher responsibility. Any non-zero responsibility values would not be updated unless this option is checked.
  • Select which courses will be used to built teacher assignment data. The default is All classes.
  • Select date to use in determining if a course has ended. The projected last day of school is generally selected.
  • A teacher range is available.
  1. Go to PIMS menu > Edit Teacher Assignments. Review the data for teachers and make edits as necessary.

  • Note the responsibility value of 999 in the image above. This indicates limited involvement in this course/section with individual students. This value will be edited in the Staff/Student Subtest in PVAAS part 4.
  • Entry and exit dates along with the responsibility values can be edited.
