Steps to Setup Online Class Attendance

Summary2This article provides a checklist for Online Class Attendance. It outlines each area that needs to be set up but does not step through the “how to” for each individual component.
Prior to Implementation

You will need to be able to log into MMS Generations (MMSGE) as either Administrator or with an administrative level account.

Resolution
  1. Admin > User accounts: MMS Administrator and teachers need to have the current school year assigned as their default year.

  2. Admin > Database Configuration > Attendance tab.

  • Verify Specified Period is selected.

  • If recording both Daily and Class Attendance do you wish to have daily codes assigned automatically based on class attendance taken during (specified) period? Select Yes if you want the attendance recorded in this period to transfer to Daily Attendance.

  1. Attendance Reporting Jobs > More Attendance Editing Jobs > Edit Calendar.

  • Confirm setup of current year calendar, including session days with units assigned and non-session days (e.g. holidays, in-service) with 0 units. (Units for session days are populated at the time of the calendar creation.)

  • Confirm that schedule days are entered for each session day.

Note: NH Schools only, units should be two. All other schools typically one unit is assigned.

  1. Class Attendance Jobs > More Class Editing Jobs > Edit Class Attendance Codes.

  • Avail for On-Line: At least one code listed needs to have this option selected so that teachers can record online class attendance. For codes you do not want teachers to use in the Teacher Portal, do not select this checkbox.

  • Daily Code: If you want the class attendance code to be transferred to the student’s daily attendance record, select the corresponding code.

  • No Overwrite by OLA: If students are assigned daily codes in advance (e.g. for a field trip) and you do not want teachers to overwrite the code(s), select this checkbox for the corresponding code(s).

 

  1. Student Biographical Editor > Attendance E/W/R tab.

  • The current school year calendar needs to be assigned to students.

  • Entry date and entry code need to be assigned to students.

  1. School Management Jobs > Edit Scheduling Term Definitions.

  • Verify start and end dates have been entered for each term your courses meet. Example: if you have year-long and semester 1 and semester 2 courses, you will need start and end dates for each of those terms.
